What’s Coming to Ecotrak

Release Notes — February 4, 2026

We’re excited to share a preview of what’s coming in our February 2nd release. These enhancements focus on improving visibility, control, and decision-making across service requests, work orders, assets, and teams, while fitting seamlessly into the workflows you already use today.

Predictive AI & Asset Insights

Get ahead of asset issues with new predictive insights during service request creation. Ecotrak can now surface likely asset failures, estimated repair costs, and time-to-fix, helping your team plan proactively, reduce downtime, and make faster, more informed decisions. This feature is fully customer-controlled through settings.

Improved Service Request & Asset Experience

Service request creation is now simpler and more intuitive. We’ve streamlined the form, gathered key details earlier in the process, and introduced a dedicated AI Insights step. Asset Insights have also been refreshed with a clearer, tab-based experience, making critical information easier to find when it matters most.

Better Work Order Visibility & Planning

A new Calendar View for Work Orders lets you visualize and plan work by day, week, or month. This view works alongside existing list views and filters, giving you better planning visibility without changing your data, permissions, or workflows.

Stronger Work Order Completion Controls

Customers can now require review and validation before third-party work orders are marked complete and invoiced. This optional setting helps ensure work quality, reduce “not fixed” disputes, and prevent premature billing, while maintaining clear, role-based workflows.

Enhanced Project & Financial Visibility

Parent and child projects are now easier to identify in the Projects list, reducing confusion and speeding up navigation. View project budget details directly on the Work Order page to stay informed when managing project-based work.

Faster, Easier Assessments

Deploy Assessments across your entire portfolio with a new “All Locations” option. Assign once, cover every location, and ensure nothing is missed, saving time and simplifying rollout.

Teams & Location Improvements

Organize internal technicians by role or job title for clearer ownership and easier administration. Quickly see which users are linked to each location, making it easier to find the right contacts for work orders and approvals.

Dashboards, Inventory & Operational Enhancements

  • New Dashboard Widgets: Stay focused with widgets for Pending Assessments and Recent Comments, turning your dashboard into a true action center.

  • Inventory Visibility: Parts now show when they’re on an approved purchase order but not yet received.

  • Simplified Preventative Maintenance Setup: Easier scheduling with clearer frequency options and a preview of upcoming service dates.

  • Clearer Emergency Notifications: Emergency priority labels (including custom ones) now display consistently across web, mobile, email, and text.

  • Improved Dispatch Sorting: Work orders now sort more predictably by completion date or ETA, making it easier to review past and upcoming work.

We’re excited to share a major Ecotrak release focused on asset visibility, workflow flexibility, and faster setup. This update introduces powerful new tools for managing assets and equipment, streamlines approvals and service workflows, and delivers meaningful usability improvements across web and mobile.


Highlights

Asset Management & Equipment Visibility

Smarter Asset Tracking
Assets now support availability status, user assignment, and advanced search — giving teams better visibility into where equipment is, who’s using it, and what’s available. Assets can also be updated on work orders at any stage, ensuring service history and warranty data stay accurate even when corrections are needed.

RMA Tracking for Assets & Work Orders
Teams can now track RMAs (Return Merchandise Authorizations) directly on assets and work orders. This adds clear visibility into equipment sent for repair or replacement and is especially valuable for IT, electronics, and specialty equipment programs.

Faster Setup & Data Flexibility

Import Module (MVP)
Bulk import is now available for assets, locations, and users using predefined templates. This significantly reduces manual data entry and makes onboarding, migrations, and large updates faster and more reliable.

Custom Fields for Locations
Customers can now define up to 10 custom fields on locations to capture business-specific data. These fields are visible across workflows and support richer reporting, platform migrations, and clearer operational context.


Work Order & Collaboration Enhancements

Create Proposals Earlier in the Workflow
Customers can now create proposals on internally managed work orders before completion. This helps teams document scope and estimated costs earlier while preserving existing invoice controls and approval workflows.

Multi-User Assignment on Work Orders
Work orders can now be assigned to multiple users. All “Assigned to Me” views across web and mobile reflect these assignments, improving collaboration, accountability, and visibility without requiring reassignment.

Expanded Location Visibility Controls
Permissioned users can toggle between viewing only assigned locations or all organizational locations across Work Orders, Invoices, Proposals, and RFPs. All activity remains fully auditable for transparency.


Finance, Invoices & Approvals

More Flexible Approval Workflows
Approval setup has been enhanced to reduce unnecessary handoffs. Customers can now skip approvers without sufficient limits or automatically advance approvals when higher-level approvers act — shortening approval cycles while maintaining full audit history.

Invoice Currency Selection
Invoices now include an explicit currency selector, improving clarity and reducing accounting errors for multi-country operations. This can be enabled or disabled via a general setting.

Invoice Requirement Controls for Service Providers
Customers can now control whether third-party Service Providers see the “Invoice is not Required” option, ensuring invoice behavior aligns with company financial policies across web and mobile.


Mobile Experience Updates

Inventory Allocation on Invoices (Mobile)
Inventory items can now be allocated directly on invoices from mobile, ensuring material costs are captured accurately at the line level.

Expanded Service Provider Selection (ET Mobile)
Mobile users can now search and assign any active Service Provider — even outside default trade assignments — when creating or reassigning work orders.

Mobile Purchase Orders Stability Improvements
The Purchase Orders module on mobile has been strengthened with bug fixes and workflow refinements to improve reliability and predictability across common use cases.

  • Advanced Filters now support deleting saved filters and marking favorites

  • Navigation menu behavior has been refined for smoother expand/collapse interactions

  • Asset Group filters for Service Providers now show only relevant customer data

  • Service History is now visible to Internal Tech Service Providers on Assets

  • Terminology and labeling inconsistencies have been corrected for clarity


Bug Fixes

  • Sidebar configuration collapse icon now works as expected

  • Service Provider users and job titles now appear correctly in comment notifications

  • Advanced Work Order filters return consistent, reliable results

  • Supervisors can now edit timesheets multiple times per day on web, matching mobile behavior

  • Standalone proposals now default to the correct category for approval workflows

  • iPad users can add attachments to Service Requests without the app freezing

What’s Coming — January 14, 2026

These upcoming enhancements are designed to reduce friction in day-to-day operations, support enterprise policy controls, and scale with multi-location and international organizations.

Below is a preview of what customers can expect in the upcoming release.

Invoice & Financial Controls

Invoice Currency Selection

Customers and Service Providers will be able to explicitly select the currency used on each invoice. This removes ambiguity for multi-country operations and improves accounting accuracy. Currency defaults from the invoice location and can be enabled or disabled via a general setting. No currency conversion logic is introduced.

Customer Control Over Invoice Requirements

A new customer setting will allow organizations to control whether third-party Service Providers can mark an invoice as “Invoice is not Required.” This ensures invoice submission aligns with company policy and reduces downstream accounting exceptions across web and mobile.

Vendor ID Enforcement for Trade Assignments

Customers will be able to prevent work from being assigned to third-party Service Providers that do not have a Vendor ID on file. This improves data quality upfront and reduces invoice failures and AP export issues.

Dispatching & Assignment Improvements

Enhanced Trade Assignments for Internal Technicians

Trade Assignments will support Job Title configuration for internal technician teams. Job Title context will appear during Service Provider selection, enabling more precise routing by trade and rank without impacting external vendors.

Expanded Location Visibility

Permissioned Customer and Service Provider users will be able to toggle between viewing assigned locations only or all organizational locations when managing Work Orders, Invoices, Proposals, and RFPs. All activity remains fully auditable.

Work Order & Collaboration Enhancements

Multi-User Assignment on Work Orders

Customers will be able to assign multiple users to a single Work Order. All “Assigned to Me” views across web and mobile will reflect these assignments, improving collaboration, accountability, and visibility.

Flexible Asset Updates on Work Orders

Users will be able to update the asset on a Work Order at any stage, including completed work and transitions between General and Managed Assets. This supports real-world correction workflows while preserving service history and warranty accuracy.

Asset & Location Management Upgrades

Custom Fields for Locations

Customers will be able to define up to 10 custom fields for Locations, enabling more flexible data tracking and smoother migrations from other platforms. These fields are visible across workflows and to Service Providers based on existing permissions.

Advanced Asset Enhancements for IT and Specialty Equipment

Assets will gain availability status, user assignment, and advanced search capabilities. These updates improve accountability and discoverability across large asset inventories while remaining informational and aligned with existing permissions.

RMA Tracking for Assets and Work Orders

Customers will be able to track Return Merchandise Authorization (RMA) events for equipment sent to manufacturers or vendors for repair or replacement. This includes structured RMA workflows, statuses, and search capabilities for improved visibility and control.

Platform & Data Management

Import Module — Assets (MVP)

Customers will be able to import assets, locations, and users directly into Ecotrak using predefined templates. This streamlines onboarding, reduces manual data entry, and supports bulk updates.

Approval Workflow Enhancements

Approval workflows for Proposals and Invoices will introduce new configuration options that allow customers to skip approvers without sufficient approval limits or automatically advance approvals when higher-level approvers act. This shortens approval cycles while preserving hierarchy and auditability.

We’re excited to share a major Ecotrak release. This update includes powerful new tools, meaningful enhancements, and important fixes that make it easier to manage work, assets, and spend at scale.


Highlights

Financial Accuracy & Cost Visibility

CapEx Classification for Inventory
Inventory items now include a simple CapEx Yes/No toggle, making it easy to classify capital expenditures and improve financial reporting — without changing existing workflows.

Inventory Allocation on Invoices
Users can now allocate inventory items directly on invoices, ensuring material costs are captured accurately at the line level and reducing the need for manual adjustments.

Accurate Asset & Project Spend
Total Spend has been replaced with Calculated Spend, providing a reliable view of actual and committed costs by combining invoice amounts and NTE values across related work orders.


Dispatching & Workflow Enhancements

Dispatch 2.0 — Clearer Schedules
Week and Day views in Dispatch 2.0 have been refined with improved formatting. Locations now display on-site time ranges more clearly, and Visit Types (Scheduled Visit, Audit, PTO, etc.) are visible directly on the schedule for better context at a glance.

Problem Visibility in Quick View
Dispatchers can now see the Problem description directly in the Work Order Quick View, making assignment faster and reducing unnecessary clicks.

Expanded Service Provider Assignment
Users with permission can now assign work orders to any active Service Provider, even if they aren’t part of the default trade assignment — offering greater flexibility while preserving existing controls.


Work Order Management Upgrades

Bulk “Invoice Not Required” Action
Closing out completed work orders is faster with a new bulk Invoice Not Required option. Eligible work orders can be finalized in one action, with clear success and error feedback per item.

Follow Work Orders (Web & Mobile)
Users can now Follow any Work Order — regardless of assignment — for quick access to work that matters most. Followed items sync across sessions and devices.

Location Scope Controls
Permissioned users can toggle between viewing only assigned locations or all organizational locations across Work Orders, Invoices, Proposals, and RFPs — with full audit tracking for transparency.


Asset & Project Enhancements

Software & Electronics Warranties
Assets now support Software & Electronics warranties, giving teams a structured way to track non-physical warranty data without impacting existing warranty logic.

Custom Asset Fields
Admins can define up to 10 custom fields on Assets, enabling organizations to capture unique, business-specific data without increasing complexity.

Improved Project Visibility
Projects now include additional filters (Category, Year, Status), editable Project Status fields, sub-project visibility, larger budget limits, and clearer Project identification — making it easier to manage and track complex rollouts.


Admin, Integration & Support Improvements

Secure External User Impersonation
Authorized admins can now impersonate external users to troubleshoot issues and validate workflows more effectively. (Available by request through Ecotrak Support or your CSM.)

Webhook & API Reliability
Work Orders created from Standalone Proposals now trigger standard creation webhooks and activity logs. Service Provider APIs now include the overtime approved flag for more accurate billing and automation.

Purchase Order PDF Refresh
Purchase Order PDFs have been redesigned with cleaner formatting, corrected mappings, conditional field logic, and improved readability — delivering a more professional document for vendors and internal teams.


Mobile Experience Updates

Permission-Based Navigation
Mobile navigation now respects user permissions, hiding unauthorized modules and actions for a cleaner, more secure experience.

Today’s Work Orders Filter
A new “Today’s WOs” quick filter helps technicians and service providers instantly focus on work scheduled for the current day.

Responsive Service Requests (Web)
The Create Service Request experience now works seamlessly on mobile phones and tablets when accessed via a browser.

  • Dashboard filters and behavior are now consistent across Dashboards, Work Orders, Invoices, and Proposals

  • UAT Reports now display Production reporting data for demos and testing

Highlights

Ecotrak Pay — Enterprise Invoice Payments

Customers can now enable Ecotrak Pay to securely pay Service Providers directly in the platform once invoices reach Approved status. Admins can store payment methods, view payment availability on invoices, and complete payments using Everyware — reducing off-platform AP work and streamlining payment workflows.

Asset Hierarchy — Sub-Asset Groups

We’ve introduced Sub-Asset Groups to help customers better organize complex asset structures. Users can now assign an Asset Group as a child of another, automatically inheriting key configuration values like NTE, warranty settings, and trade mappings. The List View has been updated with a new Referenced Asset Group column and improved sorting for parent/child groupings.

Custom Fields on Assets

Admins can now create up to 10 customizable Asset fields directly in General Settings. These fields appear on Asset records for all users with view or edit permissions, giving organizations more flexibility to track unique operational data without adding complexity.

Work Order Follow List

Users can now “Follow” any Work Order for quick access — regardless of assignment. A new Follow icon on the Work Order page and a global Following menu in the header allow users to create a personalized list that syncs across sessions and devices.

Multi-File Attachment Upload

Uploading documents just got easier. The updated attachment component supports multi-file upload, drag-and-drop, automatic document type defaults, and improved error handling for size limits and unsupported formats. This significantly speeds up workflows for Work Orders, Proposals, Invoices, and more.

SP Invoice Numbers — Auto-Use Work Order ID

Service Providers and Internal Techs can now choose to automatically populate the SP Invoice Number field with the Work Order ID when creating or editing invoices. The toggle is configurable per user and fully audited when manually overridden.

Permission-Based Navigation & UI

Ecotrak now hides modules, pages, buttons, and actions that a user does not have permission to access — ensuring cleaner navigation, preventing confusion, and blocking unauthorized direct URL access for both Customer and Service Provider accounts.

Mobile — Notification Bell (In-App Alerts)

Mobile users now have a more advanced Notification Bell that displays the same notifications they receive via email and text. All relevant alerts appear directly in-app for quick access and improved visibility.


Improvements

Coupa Integration — Accurate Commodity Mapping

We’ve improved Coupa PO creation by allowing companies to define commodity values by asset group and request category. This ensures accurate maintenance-related commodity data and prevents Coupa sync failures.

Mobile Notifications — JSON Data Alignment

Mobile notifications now receive the same detailed data included in web HTML templates, improving accuracy, context, and navigation when users tap into a notification.

Mobile Proposals — Consistent Font & Alignment

Proposal Details on mobile now feature standardized fonts, spacing, and right-aligned monetary values — creating a more polished, accessible viewing experience.

Mobile Invoices — Consistent Font & Alignment

Invoice Details on mobile have been redesigned for visual consistency across all sections (Labor, Material, Tax, Freight, Other, Totals), including improved alignment and clearer emphasis on totals.

Mobile Invoices & Proposals — Standardized Section Headers

All section headers across mobile Invoices and Proposals now follow unified typography and spacing — creating a clean, professional, and consistent layout throughout the app.


Bug Fixes

Customer Survey Responses Not Displaying

Customer survey responses now appear immediately after submission in clean, read-only format — matching the Assessments experience.

Drive Time Not Ending Automatically

Drive Time now correctly ends when a technician checks in on-site, ensuring accurate time tracking and reporting.

Required Documents Status Not Updating

The Required Documents column in the Service Providers module now updates reliably from “Not Added” to “Added” as soon as documents are uploaded.

Duplicate Work Orders Prevention

Ecotrak now prevents duplicate Work Orders by detecting repeat submissions with identical details within a short window and notifying the user before creation.

Notification Control — Incorrect Search Results

Searches in the Notifications Control module now return only results that match the applied filters — improving audit visibility and search accuracy.

Inventory Search Term Carryover

Search terms used in Inventory List View no longer appear in the Storage Location field when opening Inventory Details, preventing accidental filtering confusion.

Advanced Filter — Export Accuracy

Exporting Work Orders now produces results that match the exact on-screen advanced filter criteria, including status, service provider, and category.

Completed Status Filter Not Returning Results

Resolved an issue where selecting Status = Completed returned no results when used with the Service Provider filter. Results now accurately reflect both selections.

Timesheet Edits Not Saving

Timesheet edits now save reliably across multiple updates, ensuring accurate recordkeeping after repeated edits.

Copy Work Order Error

Users can now successfully copy Work Orders when valid Asset–Trade–Problem mappings exist. An incorrect validation error previously blocked the process.

Mobile Time Tracking Permissions

Technicians with only Enable Time Tracking permission now see only their own timesheets — matching correct Web behavior.

Managed Dashboards
You can now create and customize your own company dashboards using our new Widget Catalogue. Add the data that matters most, rearrange widgets with drag-and-drop controls, and tailor layouts by role to give every team the insights they need — all from one place.

Advanced Search — Simplified and Consistent
We’ve redesigned the Advanced Search Filter for a cleaner and more intuitive experience. Dropdown menus, date pickers, and checkboxes replace free-text fields, making it faster and easier to find what you need. The update also expands filtering options and improves saved filter management across Work Orders, Proposals, Invoices, and RFPs.

Mobile — Dispatch & Tech Scheduling
Technician scheduling just got easier on mobile. The new Dispatch Module lets Admins and Internal Techs view and manage daily schedules, drag and drop Work Orders, and make quick adjustments on the go — all from the Ecotrak mobile app.

Proposals & Invoices — Itemized Materials
You can now list individual materials directly in Proposals and Invoices, with quantity, unit price, and description fields for each item. Line totals calculate automatically, giving you greater accuracy, transparency, and control when reviewing costs.

Proposal Insights — Now on Mobile
Proposal Insights are now available in the mobile app! Review recommendations, benchmarks, and data-driven guidance right from your phone for quicker, more confident approvals.

Projects — Enhanced Visibility and Control
The Projects module now includes better tools for managing rollouts and sub-projects. You can edit settings with confirmation prompts, add new project fields like Total Budget and Fiscal Year, and easily see all related details in a clear, updated layout.

Preventative Maintenance — Location-Level Management
We’ve added a new PMs tab on the Location Details page so you can view and manage all active Preventative Maintenance schedules directly from a location. Adjust frequency, service providers, or NTEs with just a few clicks.

Work Orders — Easier Asset Reassignment
You can now change a Work Order’s asset to any active asset at the same location — even if it’s in a different asset group. If needed, Ecotrak will guide you to update the problem type so your trade and vendor settings stay accurate.

Invoices & Proposals — Remember Your Filters
Ecotrak now remembers your most recent filters — including the “Assigned to Me” toggle — so you’ll see your preferred view every time you return. No more resetting filters each session.


Improvements

Dispatch — Default Visit Type
When adding a technician to a schedule, the Visit Type now defaults to Scheduled Visit for a faster and more accurate setup.

Dispatch — Visual Scheduling Indicators
Work Orders now display quick visual tags in Dispatch:

  • Scheduled (Blue) – Matches a technician’s planned schedule

  • Priority (Orange) – Falls outside the scheduled route

Attachments — Clear File Size Message
You’ll now see clear guidance when uploading files: “Individual File Size Limit: 50 MB.” This message appears everywhere you can upload attachments.

Mobile Dashboard — Accurate Counts
Dashboard counts now always match the exact number of records displayed, so you can trust the totals you see for Work Orders, Proposals, and Invoices.

Mobile Time Tracking — Reliable in Low Connectivity
Time Tracking updates now confirm with the server before changing statuses. If you’re in a low-signal area, you’ll see a message giving you the option to retry or cancel — keeping your records accurate.

Mobile — Proposal & Invoice View Updates
Proposals and Invoices now feature a consistent, easy-to-read layout with improved alignment, spacing, and formatting in both light and dark modes.

Mobile — New Sorting Options for Work Orders
Sort your Work Orders by Priority or Created Date (Newest/Oldest). Ecotrak will remember your preference the next time you open the app.

Mobile — Attachment Requirement for Stand-Alone Proposals
If your account requires attachments for Service Requests, that rule now also applies to Stand-Alone Proposals. The app will prompt you to add at least one attachment before submitting.

Mobile — Consistent Edit Button Across Modules
Every major detail screen — including Work Orders, Invoices, Proposals, RFPs, and Assets — now features a consistent Edit button. Save, cancel, or review changes easily, with clear validation messages and warnings for unsaved updates.


Bug Fixes

Work Orders — Bulk Comments
Fixed an issue where user and service provider lists weren’t loading when adding bulk comments. All recipients now appear correctly and receive notifications as expected.

Work Orders — Partial Comment Saving
Resolved an issue where only part of a comment was saving. Comments now appear in full immediately after posting.

Work Orders — NTE Edit Limits
Internal Technicians can no longer save NTE values that exceed their configured limits. The system now enforces these limits consistently for all users.

RFP Notifications — Correct Location Address
RFP email notifications now show the correct location address instead of the company address.

Proposals — Approval History
Approvers now appear instantly in the approval history section — no page refresh needed.

Proposals — Location Filter
All assigned locations now display when creating Stand-Alone Proposals, with improved scrolling and pagination.

Locations — District Loading
The full District list now loads automatically when editing Region-District relationships.

Mobile — Passwordless Login (Carrols)
We’ve improved the mobile login process so the correct authentication method (SSO, MFA, OTP, or standard login) loads automatically based on your account type.

Mobile — Notification Bell
Fixed a temporary “Search User Notifications” message that appeared when opening the Notification Bell. Notifications now load instantly without errors.

Mobile — “Open” Filter Results
Resolved an issue where completed Work Orders sometimes appeared under “Open.” The filter now correctly displays only active Work Orders.

Taxable Checkboxes: Invoice Form Submissions

For any invoice submitted or edited, when a user adds tax into the tax field, they must select which invoice cost line item the tax applies to. This will be captured and available to customers in reporting (coming soon!), exports or API calls.

Inventory Allocation Updates

  • $0 Part Allocation: when allocating parts, users are able to allocate parts for $0 cost as desired to a work order.

  • Allocated Inventory parts will display on the Add Invoice form for customer users.

Not Fixed Button

Added back to Work Order for users to update status from Complete to Not Fixed.

Attachment Limit

Updated limit anywhere users can add attachments to a combined 50mb total limit before a user has to save to add additional attachments. There is not separate limit to quantity of attachments being loaded, as long as the total size is less than 50mb.

Search & Filter Improvements

  • Proposal search in Global Search bar is now working as expected.

  • Work Order Module Advanced Filter icon will allow you to add multiple search options in the WO module allowing you to narrow your results.

  • Filters in Core Modules will save when you navigate away or refresh your page. If you log out, the filters will not save for your next visit.

Work Order Notifications

  • Users will now receive an email and a push notification when assigned to a work order. Assignments triggering the notification can be made through the Edit Mode of a work order or the Dispatch Module, ensuring seamless communication across different workflows.

Inventory Enhancements

  • Asset Group Filter - Inventory Items: Users can now filter inventory items by Asset Group in the simple search and filter dropdown.

  • Add Markup to Inventory Parts: Added a feature to automatically calculate the markup for inventory items based on their cost.

  • Unit Type for Purchase Orders: Users can now specify units of measurement for new items on Purchase Orders. Existing inventory items will have a pre-populated, non-editable Unit Type, while new items can select a unit from dropdown options grouped by Units, Length, Weight, and Capacity.

  • Removed Incurred Costs from RFP Proposals: Streamlined the RFP process by removing the Incurred Costs section.
