How to use the Inventory Module

The following article will walk users through the Inventory module, providing a "how-to" to customers who have paid for and implemented the inventory module into their account.

Prerequisite

In order to use the Inventory module, your company will first have to sign up for the Inventory module subscription (fees apply).

Locating the Inventory Module

The first step will be to navigate to the Inventory Module. Users will locate the Inventory Module listed in the menu bar on the left hand side of the screen (providing their account is set up for the Inventory Module). By clicking on the Inventory button, users will navigate to the Inventory module.

Navigating the Manage Inventory page

After clicking the Inventory button in the left menu bar, users will be dropped on the Manage Inventory page. On this page, users will see:

  1. A list of their current inventory items (including details on those items)

    • By scrolling through the list of current inventory items, users can verify the:

      • Inventory ID

      • Part Name

      • Part Number

      • Manufacturer

      • Manufacturer Part #

      • Supplier Name

      • Supplier Part #

      • Barcode / Tag ID

      • Minimum Quantity

      • Description

  2. Search tools

    • If users need to search for a specific part, they can search that part in the search bar at the top.

    • As well, the Manufacturer drop down filter allows users to see their inventory related to a specific manufacturer or manufacturers and Storage Locations drop down filter allows users to see inventory stored a specific storage location or locations.

    • By clicking this button, users can add a new Inventory Item to their Inventory

  3. Inventory & Storage Locations Tabs

    • The Inventory tab will show the Manage Inventory page

    • The Storage Locations tab will show the Manage Storage Locations page

Navigating the Storage Location page

At the top of the Inventory module, users will find the Storage Location tab. By clicking on this tab, users will be taken to the manage Storage Locations page.

On this page, all storage locations are listed, providing users with the following details on their Storage Locations:

  • Storage ID

  • Storage Location Name

  • Storage Location Address

  • Storage Location Type

  • Technicians currently Assigned To Storage Location

Users can also find the + Add New button to add a new Storage Location to their account (Click here to learn how to add a New Storage Location)

By clicking on the Location, users can open up and edit the Storage Location Details.

Navigating the Inventory Details page

In order to view specific Inventory Details, including: Inventory Location, Quantity On Hand, Average Cost per Unit, Inventory Allocation, Transfer Inventory action, and Adjust Stock action, users will want to navigate to the Inventory Details page. To do so, users will click on the Inventory ID number related to the inventory they wish to review.

Once the Inventory ID is clicked, the Inventory Details of the selected ID will populate. On this page, users will see:

  1. Inventory Details, including:

    • Inventory ID

    • Part Name

    • Active Status

    • Customer Part #

    • Manufacturer

    • Manufacturer Part #

    • Supplier Name

    • Supplier Part Number

    • Barcode / TAg ID

    • Minimum Quantity

    • Asset Group relation

    • Storage Locations

    • Description

  2. Inventory Location Details, including:

    • List of Inventory Locations

      • Location Name

      • Part Availability

      • Quantity On-Hand

      • Average Cost per Unit

    • Search tools

      • Search Bar

      • Storage Location Filter

  3. Quantity on Hand & Average Cost Per Unit

    • The amount of inventory currently in stock for selected item.

    • The average cost per unit of selected inventory item.

  4. Inventory Details tabs

    • Quantity and Cost

      • All details of Inventory item.

    • Allocated To

      • A list of the work orders, invoices, and proposals that this inventory item has been allocated to.

    • Attachments

      • Any attachments uploaded for this Inventory item.

    • Activity

      • A historical list of the activity related to this Inventory item.
