Navigating the Tasks Module

The new Tasks module lets you create, assign, and track tasks in one place and link them to the records they relate to.

Getting Started

Tasks is a core module available to all Ecotrak customers. Select Tasks from the left-hand side menu to open the List view, where you can see every task in any status.

Site Administrators have full view and edit access. All other user roles have view-only access through a job title permission tied to this module. To let additional users create and edit tasks, update their job title to the Task View and Edit role.

Note: There are no notification settings tied into our Tasks Module just yet. This is coming soon!

Creating a Task

Add a new Task from the Tasks module and complete the following:

  • Related record (optional): Select the checkbox to link the task to a record. Choose a module (Invoices, Proposals, Work Orders, or RFPs), then start typing to find the specific record.

  • Task name: Required.

  • Assigned to: Any user in the company who has access to the related work order location.

  • Task type: Choose from 12 preset types, or create a general task. Task types allow for additional reporting.

  • Priority: High, Medium, or Low.

  • Due date and notes: Add the date the task should be completed by, along with any details, such as "Please ensure you check all pending approvals on this work order."

  • Custom fields: You can also configure custom fields. They will appear on all of your related tasks.

Select Save to create the task. New tasks start in the Open status.

Managing Tasks

  • Statuses: Move a task from Open to In Progress, On Hold, or Completed using the status dropdown. You can also comment on a task for the assigned user and track all activity on the record.

  • Filters: Filter tasks by assignee, priority, or the module they are tied to. You can view only the tasks assigned to you, or all tasks in the company.

  • Kanban board: Prefer a project-style view? See every status on a Kanban board. In both the List view and the Kanban board, you can order tasks by priority within a column and drag and drop them to update their status.

  • Active and inactive: Set a task as inactive to hide it from the completed list. Use the toggle at the top of the page to see inactive tasks.

Working with Linked Records

Tasks tied to a record display a link icon. Select the hyperlink to go straight to that record, where the new right-side panel has a Tasks section listing every related task.

You can also create a task directly from a record. The module and record are linked automatically, and the task also appears on your task board.
