How to use the Customer Dispatch Module

The Dispatch Module allows customer users the ability to easily assign their internal technicians to active work orders and update work order ETAs all from a singular page that is both user friendly and visually familiar to other calendar applications.

The following article will walk customer users through how to use the Dispatch Module.

Module Prerequisites

  • In order to access this new module, customers will have to request it to be added to their account.

  • After the module is added to the customer account, customer users will need both the work order and dispatch roles enabled under their job title to access the module.

  • Customer account must use Internal technicians

Navigating to Module

After access is provided to your customer account, and roles are updated on your user's job title, you will see the Dispatch module in the navigation menu on the left hand side of the page (as seen below).

Dispatch Module - Column View ("Swim Lanes")

Once you have clicked on the Dispatch button, you will be taken to the Dispatch module. Here, you will land on the the "Swim Lane" view. This view arranges the work order assignment into columns under the names of the technicians the work orders are assigned to. This view allows you to see your:

  1. Internal Technicians

    • Your technicians names will be listed across the top of the page above every column.

  2. The work orders currently assigned to your Internal Technicians

    • When viewing the columns under the weekly view, each day will be listed down the columns, and the work orders currently assigned to the technicians will be listed under each Technician name (seen at the top of the columns).

    • When viewing the columns under the daily view, each column will show today's current work order assignment for each technician.

  3. No Technician Assigned Column

    • This column is found on the right side of the page under the "No Technician Assigned" column and shows all Work Orders NOT currently assigned to any Internal Technicians .

    • The drop down allows you to to view work orders not currently assigned to a technician by work order status.

Navigating the Dispatch Module - Column View

At the top of the column window, you will find all of the search, filter, and viewing tools to navigate throughout the module. These tools include:

  1. The Search and Filter Fields - Located in the top right corner of the Dispatch module. Here, you will find:

    • Search Bar

    • Priority Drop Down Filter

    • Status Drop Down Filter

    • Org Structure Drop Down Filter

    • Column View & List View

  2. Day View & Week View Toggle

  3. Date Navigateion

    • View Today button

      • By clicking this button, your page will instantly update to showing today's (or this week's) information.

    • Currently selected date(s)

      • The date(s) listed here represent the current days populating in the columns.

    • Day/Week navigation arrows

  4. Technician Assigned Filter

    • This drop down filter allows you to pick and choose the technician or technicians that you would like to see populate within the column view.

Updating Work Order Assignment - Column View

To Assign a work order to a technician, or to move a work order from one technician to another, all you need to do is click and drag the work order to the desired destination column.

In the example below, you will see that a work order was pulled from the technician Bob Jr. for the date Oct 3rd and reassigned to the technician Daniel Castle.

  1. Once you click and drag a work order, you will see a box that represents where you are pulling the work order from.

  2. Once you are ready to drop the work order to its new location, you will see a box that represents where you are dropping it into.

Dispatch Module - List View

The Dispatch Module can also be viewed in a list view. This view can be accessed by clicking the horizontal bar icon in the top right corner of the module.

Navigating Dispatch Module - List View

Once you click on the List view icon, you will be navigated to the List view page. In this view, you will see:

  1. The Search and Filter Fields - Located in the top right corner of the Dispatch module. Here, you will find:

    • Search Bar

    • Tech Not Assigned Toggle

    • Advanced Filter Button

    • Status Drop Down Filter

    • Priority Drop Down Filter

    • Technician Assigned Drop Down Filter

    • Current ETA Drop Down Filter

    • Org Structure Drop Down Filter

    • Column View & List View

  2. Manage Work Order List - Allows users to scroll through and see all the work order details.

Updating Work Order Assignment - List View

Through the use of the Action buttons, you can:

  • Reassign work order to a new SP

  • Assign the work order to a new tech
