Managing Custom Fields on Assets

This tutorial explains how to create, manage, and use custom fields on assets. Custom fields allow you to extend asset data with fields that are specific to your organization’s needs, such as pricing, cost tracking, or important dates.

Once created, these fields are automatically available across all relevant asset views.

This feature enables consistency, flexibility, and better data capture without requiring engineering changes.

Where Custom Fields Are Managed

Custom fields are managed at the Locations level (starting in the next sprint). Users with the appropriate permissions can configure which fields are available for assets associated with those locations.

Accessing Custom Field Management

  1. Navigate to Locations.

  2. Select the location you want to manage.

  3. Click Manage.

  4. Click the Edit (pencil) icon.

This opens the configuration area where custom fields can be added or modified.

Adding a New Custom Field

To add a new custom field:

  1. In the edit view, select Add Field.

  2. Enter a field name (for example: Test Price, Cost, or Date).

  3. Save your changes.

There are no restrictions on the type of data entered in these fields. They are text-based, meaning users can enter numbers, characters, or mixed values as needed.

Once saved, the field is immediately available across the asset experience.

Where Custom Fields Appear

After creation, custom fields are automatically added in the following places:

1. Assets List View

  • Newly created fields appear as additional columns.

  • Values entered for each asset are visible directly in the list.

2. Add New Asset Form

  • The same custom fields appear when creating a new asset.

  • Users can populate them during asset creation.

3. Asset Details Page

  • Custom fields are displayed alongside standard asset information.

  • These fields can be edited at any time.

Editing Custom Field Values

To update a custom field value on an asset:

  1. Open the Asset Details page.

  2. Click Edit.

  3. Enter or update the value in the custom field.

  4. Click Save.

Changes are saved immediately.

Validation and Persistence

  • Custom field values persist across views.

  • After saving, updates are reflected in:

    • The asset details page

    • The assets list view

  • This ensures consistency and visibility across the system.

Key Benefits

  • No engineering dependency to add new asset fields

  • Flexible data capture tailored to business needs

  • Immediate availability across all asset views

  • Simple, text-based input that supports varied use cases

Summary

Custom fields allow teams to extend asset data quickly and consistently. By configuring fields at the location level, users gain full control over what information is tracked, how it is edited, and where it appears. Once created, fields are available everywhere assets are viewed or managed, ensuring a seamless and scalable workflow.
