Using standardized import templates and built-in validation, you can create multiple managed asset records in a single workflow and resolve errors efficiently if they occur.
By the end of this guide, you will understand how to:
Access the Imports module
Use the Import Wizard to add assets
Work with import templates and the Fields Guide
Resolve validation errors
Confirm a successful import
Accessing the Imports Module
Navigate to the left-hand menu.
Select the Imports module.
This opens the Import Wizard, which guides you step by step through the import process.
Step 1: Choose Import Type
When the Import Wizard opens, you will start on the Type step.
Select Assets.
This option allows you to add new managed asset records in bulk.
Click Next to continue.
Step 2: Download Import Templates
On the next step, you will download two files:
Fields Guide
Explains what each field in the template represents
Defines required vs. optional fields
Provides guidance on acceptable values and formats
Use this guide as your reference before entering any data.
Import Template
This is the file you will complete and upload
Each column corresponds to an asset field
Each row represents a single asset record
The accuracy of this file determines whether your import succeeds.
Step 3: Complete the Template
Open the import template.
Fill in the required information for each asset.
Ensure:
Required fields are not left blank
Values follow the expected format described in the Fields Guide
Column headers remain unchanged
Once complete, save the file in the supported format.
Step 4: Upload and Run the Import
Upload your completed template file in the Import Wizard.
Select Import.
The system will validate your file before applying any changes.
Handling Validation Errors
If the system detects issues, the import will fail and you will see a Validation Failed message.
When this occurs:
An Error Summary Report becomes available for download.
The report lists all detected errors.
At the end of the report, each column is explained, including which field was missed or incorrectly filled.
Common validation errors include:
Missing required fields
Invalid values
Formatting issues
Fixing Errors and Re-Importing
To resolve errors:
Download the Error Summary Report.
Review the explanations provided for each error.
Correct the issues directly in your import template.
Save the updated file.
Upload the file again and select Import.
You can repeat this process until the file passes validation.
Successful Import Confirmation
After all issues are resolved:
The import process will run successfully.
You will receive a notification confirming the assets were imported.
Click View Assets to navigate directly to the Assets module.
Verifying Imported Assets
In the Assets module:
The newly added or bulk-updated assets will be displayed.
Review a selection of assets to confirm the data was applied correctly.
This verification step ensures the integrity of your imported data.
