How to Add & Manage Assets

This article will show you how to search for, add & manage assets within Ecotrak.

Searching for An Asset:

  • To search for an asset click on the Assets tab.

  • Here you will be presented with a list of your Managed Assets as well as your General Assets.

  • In the search box type in the asset you'd like to look for and click on Search. You may also use the Location and Asset Group filters if you want to go browse the list of assets per location or specific asset group.

  • That asset will now populate and you will be able to go into the asset details and/or create a service request for it.

Adding Assets:

  • After logging into your Ecotrak account, you will land on the main dashboard page. From here, locate and click on the Assets tab found in the left menu bar.

  • Once you have clicked on the Assets tab, you will be presented with a list of all your assets.

  • To add a new asset, click on the + Add New button.

  • A screen will pop up on the right hand side where you will first enter in the Asset's Name, Asset Group (formerly known as Asset Type), Location, and Priority. The next section is where you will enter in the asset's full details: Manufacturer, Model and Serial Number, it's Condition, Warranty Start Date, and Estimated Useful Life. The last step would be to upload your asset photo. Upload or drag and drop your asset's photo in and specify the media type, Photo For App. Upload a photo of your asset ID plate and specify the media type, Asset I.D. Plate.

  • Once finished, click on Submit.

Managing an Asset:

  • To manage an existing asset, Select the Asset ID number of the asset you want to replace.

  • Click on the edit icon at the upper righthand corner.

  • You will now have the ability to edit your asset details, warranty information, and attachments.

  • To save your changes, click on Save.

  • You will also be able to view the asset's warranty, service history, attachments, comments (formerly known as notes), and the asset's activity (formerly known as history).

Replacing an Asset:

It's best to have the following prepared, prior to asset replacement: Manufacturer, Model, Serial, Original Value, Replacement Cost, Manufacturer Date, Warranty Information, as needed.

  • Select the Asset ID number of the asset you want to replace.

  • Click on the Replace tab.

  • Enter in the asset details that you'd like to edit.

  • To save your changes, click on Submit.
