This article will walk you through the new invoice module in Ecotrak.
Step 1: After logging in to Ecotrak, you will navigate to the invoice module by clicking on the Invoices tab found in the menu bar on the left side of the page or on the Invoices button at the top of the page.
Step 2: Once in the invoice module, you will see a list of all invoices along with the work order and location-related details for each invoice.
At the top of the invoice window, you will see various drop-down search filters to help you find the proposal(s) you are looking for. They are:
Category
Status
Created Date / Approved Date
Date Range
Org Structure
You will also see the Search bar, Search button, Download button, View Column button, and the Filter button.
The Filter button allows you to create and save a customized filter. For more information on how to create a custom filter, click here.
The View Column Button allows you to hide or show columns on the module. If the WO belongs to a PM, you’ll be able to view the PM ID in its own column.
You will also find the Locations Assigned and Assigned To Me toggle switches.
You can change the number of rows shown per page at the bottom of the invoice window.
To open an invoice, click on the invoice ID. Doing so will open up the invoice details.
Step 3: In this screen, you will find all the information related to the invoice. On the left, you will find the information related to the: Invoice Status, Location, Service Provider Number, Asset, Service Provider, and Category type.
Beneath the initial invoice details, you will find information regarding Asset Group, Trade type, Problem type, Location details, Contact details, and Descriptions. You will also find the invoice total and cost breakdown.
On the top right side of the invoice details page, you will see the following links: Asset, Work Order, Invoice, and Location. You will also see the Edit button, Print button, and the Close button.
At the top of the page, you will see five tabs: Details, AI Insights, Attachments, Comments, & Activity.
The Details tab will show you the invoice details.
The AI Insights tab will show you insights such as the predicted failures and estimated costs.
The Attachments tab will show you all attachments and allow you to upload a new attachment.
The Comments tab will show you all the messages between customers and service providers on this invoice.
The Activity tab will show you a history of all activity taken on this invoice.
