Third-Party Work Orders Require Approval Before Completion

Ecotrak has introduced a new general setting that ensures third-party work is reviewed and approved before a work order can be fully completed and invoiced.

This change gives customers tighter operational control and prevents premature invoicing for unconfirmed work.


Why This Matters

Previously, third-party service providers could mark a work order as Completed and submit an invoice without customer confirmation. That created risk—both operationally and financially.

With this new setting enabled:

  • Final completion is aligned with customer confirmation

  • Invoices can only be submitted after approval

  • Teams gain clearer accountability and more accurate financial outcomes


How to Enable the Setting

  1. Go to General Settings

  2. Scroll down to find Require approval for third-party work order completion

  3. Enable the setting

Once enabled, this setting applies system-wide to third-party work orders.


What Changes in the Work Order Flow

For Third-Party Service Providers

  • They cannot move a work order directly to Completed

  • They can only move it to Completed – Pending Review

  • They cannot add an invoice while the work order is in this status

  • They must wait for customer approval to proceed

For Customers (Reviewers)

When a work order is in Completed – Pending Review, authorized customer users can:

  • Confirm the work is completed, or

  • Mark the work order as Not Fixed if the work was not completed

Only after confirmation is the work order moved to Completed, allowing the service provider to add an invoice.


Assigning Reviewers

Reviewer permissions are controlled through Job Titles.

To assign reviewer access:

  1. Go to Job Titles

  2. Select the relevant job title

  3. Enable Internal Reviewer – Work Order Completion

What This Permission Does

  • Users with this role can move work orders out of Completed – Pending Review

  • They can mark the work order as Completed or Not Fixed

  • Users without this permission will not see these actions

Note: Third-party service providers will never have this permission.


Summary

  • Invoicing is blocked until approval is given

  • This change improves oversight, accuracy, and financial control
