Create an Asset-Problem-Trade Relationship

The Asset-Problem-Trade relationship is how a problem is connected to your asset, and which trade a work order can be assigned, depending on the problem selected. Ensuring accurate mappings in this relationship is crucial for routing work orders to the correct vendors, minimizing delays, and improving issue resolution.

  • Note: An asset may have different trades assigned depending on the problem selected

Setting up a relationship between the asset, problems, and trades. Correctly configuring these relationships ensures that work orders are routed to the appropriate trade and vendors, avoiding misrouting and delays.

  1. Log on to Ecotrak and on the navigation panel, click on "Configuration", click on "Asset Workflow", then click on the "Asset-Problem-Trade" tab.


  2. Click on the "Add New" button located at the top of the column


  3. A window will appear on the right panel asking for which asset this relationship will be for. Select your asset from the dropdown, and a new section will appear.


  4. Once an asset is selected, you can choose whatever trade you want to be added for the selected asset. Once a trade is chosen, you can then select which problems will be assigned for the trade selected.


  5. Once a problem is selected and a trade is assigned, you can hit the save button. Please note that you can select multiple problems for every trade selected, and you can add multiple trades per asset.

  • If a trade or problem does not exist on the list, please remember that you can always add a new "Trade" and "Problem". Please see the guide below on how to add new trades and problems.

How to add a Trade

  1. Log on to Ecotrak and on the navigation panel, click on "Configuration", click on "Asset Workflow", then click on the "Trades" tab


  2. Click on the "Add New" button located at the top of the column


  3. A window will appear on the right panel asking for the name of the trade and what the core trade of this new trade is.


  4. Enter the name of the new trade and select the core trade from the dropdown list. Remember, the core trade will be the trade that is selected by service providers when setting up their profile. This creates the connection when a work order is being assigned to a Service Provider.

How to add a Problem

  1. Log on to Ecotrak and on the navigation panel, click on "Configuration", click on "Asset Workflow", then click on the "Problems" tab


  2. Click on the "Add New" button located at the top of the column


  3. A window will appear on the right panel asking for the name of the problem. Enter the name and click on the submit button to save.

The steps above are how you can add an asset-trade-problem relationship. If there is already an existing ATP relationship, and you wish to edit the current relationship, you can do so by following the guide below: For example, if a problem like "cover missing" is mapped to the Landlord trade, the work order will route to Landlord vendors, and other trades, such as Electrician, will not be available for reassignment.

Edit a relationship between the asset, problems, and trades.

  1. Log on to Ecotrak and on the navigation panel, click on "Configuration", click on "Asset Workflow", then click on the "Asset-Problem-Trade" tab.

  2. Use the search button to search for the asset group that you want to edit, or scroll through the list of asset groups and click on the relationship you wish to edit.

  3. Click on the trade, and a pop-up panel will appear on the right. It will show you the current list of problems and trades selected for this asset group. To edit, click on the pencil icon located at the top right of the panel.

  4. It will now show you the problems that can be added to the trade selected. Hit the save button once you've made your selection.

  5. Verify the updates by creating a work order with the updated problem-to-trade mapping to ensure it routes correctly.

  • Scenario: A work order routes to the wrong trade.

    • Solution: Check the Asset-Trade-Problem table to ensure the problem is mapped to the correct trade.

  • Scenario: Vendors for a specific trade are not visible for reassignment.

    • Solution: Verify that the problem is correctly mapped to the desired trade in the Asset-Trade-Problem table.
